Product Categories
Categories group your products (for example Beverages, Snacks, Cleaning). Every product belongs to one category, which keeps your catalogue organised and easy to browse at the POS.
Who can manage categories?
Only Admins can add, edit, or delete categories.
Adding a Category
- Go to Categories and click Add Category.
- Enter a Name (required, and unique within your store).
- Optionally add a Description.
- Click Save. New categories start out Active.
Set up categories first
Because every product must have a category, it helps to create your main categories before you start adding products.
Editing a Category
Click the pencil icon on a category's row to change its Name, Description, or Active status.
Active and Inactive Categories
The Active switch controls whether a category can be chosen on new or edited products:
- Active: appears in the category list when you create or edit a product.
- Inactive: hidden from that list, so it cannot be assigned to more products. Products already in the category keep it and continue to sell normally.
Deactivating is a tidy way to retire a category you no longer want to use, without disturbing existing products.
Deleting a Category
Click the trash icon to remove a category. A category cannot be deleted while any products are assigned to it: you will see a message such as "Cannot delete category: 4 product(s) are assigned to it."
To delete such a category, first move those products to a different category (or delete the products), then delete the category. If you only want to stop using it, deactivate it instead.

- On the product form, where you assign each product to a category.
- On the Products page and the POS screen, where categories help you organise and find products quickly.
FAQ
Q: Is a category required for every product?
A: Yes. Each product must belong to one category. Create your categories before adding products.
Q: Why can't I delete a category?
A: At least one product is still assigned to it. Move or delete those products first, or simply deactivate the category to stop using it.
Q: Can two categories have the same name?
A: No. Category names must be unique within your store.
Q: What happens to products when I deactivate their category?
A: Nothing changes for those products. They keep the category and continue to sell. The category is only hidden from the picker when creating or editing products.
Q: Can a Manager or Cashier manage categories?
A: No. Only Admins can add, edit, or delete categories.
