Exports

When you run a large export, ClarityPOS processes it in the background. You can close the browser and come back later. The Exports page keeps a record of your recent jobs and lets you download finished files at any time within 7 days.

What the Exports page is for

The Exports page serves two purposes. First, it tracks the progress of any export you have started, so you can see whether it is running, ready, or failed. Second, it keeps finished files for up to 7 days so you can re-download them without running the export again.

Re-using a saved export: if your data has not changed since the last export, the saved file is ready to use straight away. You do not need to queue a new job. Keep in mind that exported files are snapshots. They show the data as it was when you ran the export, not the current state of your records. If sales, stock, or customers have changed since then, run a fresh export to get up-to-date figures.

Note: The Exports page shows up to 7 days of history and up to 100 records at a time.

How to open the Exports page

  • Click Exports in the sidebar.
  • Or, click the download icon in the top bar when you see a dot indicator (the dot appears when you have exports running or files ready to download).

Understanding the status column

Available actions

  • Download (Ready only): saves the file to your computer. The format depends on the type of export (Excel, CSV, or PDF).
  • Cancel (Queued or Running only): stops the export. Any progress is discarded.
  • Retry (Failed or Cancelled only): runs the export again with the same settings. Each retry creates a new row.

You cannot Retry a successful export. A successful export means the file is already saved on the server. Re-downloading it is faster and saves you time. To get fresh data, go back to the report page and start a new export from there.

How long are files kept?

Exported files are kept for 7 days. After that, they are deleted automatically. If you need the file after 7 days, run the export again from the report page.

The exports indicator

The download icon in the top bar appears when there is something worth checking:

  • Pulsing amber dot: an export is currently running.
  • Steady dot: a finished file is ready to download.

Click the icon to go to the Exports page. The indicator disappears once you have viewed your finished exports. Cashiers do not see this indicator.

Sharing exported files

Once you download a file to your computer, you can use it like any other file: attach it to an email, upload it to accounting software, or save it to cloud storage.

Remember that the file is a point-in-time snapshot. If sales or stock have changed since you ran the export, the file will not reflect those changes. Run a new export to get the most current data.

WARNING

Exported files may contain sensitive financial or customer data. Only share them with people who need them, such as your accountant, business partner, or a trusted manager.

Why is there a queue?

To keep the system running smoothly for everyone, ClarityPOS processes a maximum of two of your exports at a time. If you start more, the extras wait in line automatically. They will start as each one finishes.

If you have 50 or more exports waiting, new requests will be rejected until the queue clears.

Date range limits

Every export must have a start date and an end date. The maximum span is 12 months per export. For longer periods, run separate exports for each year or quarter, then combine the downloaded files.


FAQ

Q: I closed the browser while an export was running. Did I lose it?

A: No. ClarityPOS keeps running the export even after you close the browser. When you open ClarityPOS again and go to Exports, you will find it there: either still running, or ready to download.

Q: My export has been "Queued" for a long time. Is something wrong?

A: Another export from your shop is already running. ClarityPOS runs two exports at a time. Your export will start automatically once one of the others finishes.

Q: I got a "Too many requests" error when trying to start an export.

A: You have 50 or more exports already waiting. Cancel the ones you no longer need, or wait for some to complete.

Q: Can another user see my exports?

A: No. Each user sees only their own exports. An Admin can see all exports in the shop if needed.

Q: I accidentally cancelled an export. What do I do?

A: Click Retry next to the cancelled row. This starts the export again with the same settings.

Q: Why can I not Retry a successful export?

A: A successful export means the file is already saved in ClarityPOS. You can re-download it without re-running the whole export. This is faster and uses fewer resources. To get data from a more recent period, start a new export from the report page.

Q: The export file is a few days old. Are the numbers still accurate?

A: The file shows a snapshot of the data at the time you ran the export. If sales or records have changed since then, the file will not reflect those changes. Run a new export to get up-to-date figures.

Q: How do I get data for more than 12 months?

A: Run a separate export for each year or quarter, then combine the files in a spreadsheet. The 12-month limit keeps each export fast and manageable.

Q: My export failed. What should I do?

A: Click Retry. Most failures are temporary, such as a brief network issue or a temporary system problem. If it keeps failing, contact support and mention the time the failure happened.

Q: Can I schedule an export to run every week automatically?

A: Not yet. Scheduled exports are planned for a future release. For now, run exports manually from the Reports page.
